Navigating the Project Seas in Today’s Virtual World

Many teams are new to Virtual Project Management and are having to navigate through what appears to be very difficult and choppy waters; others have been operating using this approach for some time.

Planning the Voyage

  • Confirm and/or re-establish the Project Objectives and strategic objectives
  • Check in with the Key Sponsor and Project Stakeholder(s)
  • Engaging the Delivery Team and establishing clear roles/responsibilities
  • Analyze and adjust the Project Deliverables (individually & collaboratively)
  • Using an ‘agile’ S.W.O.T to understand the potential problems and opportunities associated with the project
  • Agree the high-level delivery plan

Hoisting the Sail and Setting Off

  • Benchmark the team’s (and your own) virtual project delivery capabilities
  • Detail the delivery plan and the key milestones
  • Virtual ‘change control’ processes and tips
  • Connecting with the third parties and remote stakeholders
  • Understand how to ‘sign-post’ the help and support you (and third parties) will be offering during the journey

“Steady as She Goes” (Running the Project)

  • Assess and manage the emerging threats and opportunities
  • Remote monitoring and control methods (establishing feedback loops)
  • Communication when sailing is smooth - the things we need to ‘accentuate’ (but often don’t)
  • Motivating the team and third parties (from afar)
  • Validating the feedback mechanisms for control and monitoring (incl. change plans, project plan, business case etc.)

Sailing in Stormy Seas.. (“Mayday! Mayday!”)

  • Common misconceptions and ‘go-to’ strategies in a crisis
  • How NOT to react, and other coping strategies
  • Escalation stages - how to tailor these for your organisation
  • Mayday tips from the business masters
  • How to handle /escalate threats and opportunities - and be heard in the storm!
  • Working with the Project Sponsor / Stakeholders in hard times (having crucial conversations)
  • Deal productively with conflict on the project, albeit individuals or teams and encourage “creative conflict”
  • Getting the most from your team under-duress

Making Landfall & Arriving into Port  (delivering the project)

  • Confirming arrival, and validating acceptance
  • Debriefing the project in order to learn (documenting the ‘journey highlights)
  • Celebrating with the team
